Concepts

🔗 Connections

A Connection enables Octolis to dialog with an external system to:

Source data from this system to an Octolis datasets.

Sync data from an Octolis datasets to this system.

A Connection is composed of two parts:

One of our built-in Connectors (e.g. Salesforce, SFTP, Snowflake, Google Spreadsheet...).

The parameters and credentials to access your system (e.g. Salesforce login/password, API key...).

We have four kinds of Connectors:

Cloud app: the business apps that you use on daily basis (e.g. Salesforce, Shopify...).

Static file repository: places where you store CSV or JSON files (e.g. SFTP, s3...).

Database: the databases that you use to store business data (e.g. BigQuery, Snowflake...)

Real-time: send or retrieve data through our Webhooks & API.

⬆️ Sources

A Source retrieves data from one of your Connections inside of a dataset.

For instance, a Source can be one of the following:

A Salesforce object (contacts, accounts...)

A Zendesk object (tickets)

A file inside of an SFTP (CSV file containing some contacts, JSON file containing events...)

A table/view of a database.

One of your systems sends us records through Webhooks/API calls.

Sources can be configured to retrieve data incrementally at a near-real-time interval (every day, hour, or minute).

📕 Datasets

A Dataset is an entity combining several data Sources, applying them to Preparation steps, and adding Computed fields.

For instance, you can create a Dataset to:

Combine Salesforce’s contacts and Zendesk’s customer service tickets.

Add computed fields like nb of tickets per contact, date of the latest ticket.

Here are other terms related to the Datasets that you might come across:

Business categories

A Business category enables you to label what kind of data your Source/Dataset is dealing with.

It is very convenient to help another user quickly grasp the context.

It also helps Octolis suggest Preparation steps and Computed fields that might suit your needs.

Preparation steps

Preparation steps enable you to manipulate the raw data coming from your Sources inside of your Dataset.

There are three main types of Preparation steps:

Data preparation: mostly technical work to put data in the right format (transform text to date, eliminate blank spaces...).
Business preparation: extract business value from raw data (get age from a date, split an email address to get its domain...).
Scores: compute an advanced score based on your raw data (LTV, churn, RFM segments...).

Computed fields

🏹 Syncs

A Sync sends the records of a Dataset to an external system.

For Instance, you can send the Dataset that combines Salesforce and Zendesk data back to Salesforce so that salespeople can prioritize the requests of your most unsatisfied customers.

Our API Connectors to Cloud app destinations all work with advanced capabilities:

Full control over rate-limiting.

Upsert on the destination’s primary key or any of its external id.

Field-level create-only or create-and-update sync strategy.
